Recurring Schedule: Make an Existing Job Part of a Recurring Schedule (NUC-1547) |
We have a couple of exciting developments to share with you in this release. Both are available now in our new web app. The first is you can now use an existing job to make a recurring schedule! Sounds good, but what does that mean exactly? Well, say you have created a single job but due to a change in circumstances, it needs to be repeated several times over the next few weeks. Now you can use that initial job as the template, and define exactly which days you want it to recur on. Ok, how do I turn an existing job into a recurring one? Find the job you wish to use. Click on the job number to take you to the job details view. In job details, locate the additional menu in the job header (the three dots above the allocated resources panel). Select "Make job recurring" from the three dots menu. You will be presented with the "Create Recurring Pattern" modal. This is where you get to choose a start date, a start time, and the exact calendar dates that you want the job to recur on (*remember to save your selection!). In my example, I select four dates which form part of the recurring schedule "RS-0012." Once saved, the activities console will open, presenting you with your completed recurring schedule. All that remains is for you to return to the job details and allocate a resource. Note. This option is inactive for the following types of job:

Recurring Schedule: Add Calendar Builder to Create Jobs (NUC-1536 and NUC-703) |
Our second exciting development is the addition of the "Calendar Builder" in the "Create Jobs" modal of our new web app. Previously, when you created a job and made it recurring, your only option was to use the pattern builder. We've now added a second option (one we think you'll like)–a calendar from which you can select the exact days that you want to include in your recurring schedule. Made a mistake? No problem, you can remove a selected date by reselecting it (by clicking once again on the blue highlighted date–it toggles). Great–it looks so much easier to use! Take me through how to find it. Go to the blue top bar in the scheduling console. To the right, you will see a large "plus" button. Click and select "Create Job." Fill in all the required fields (marked red) and then click on the "Time" tab. Select a date and time to apply a constraint–then check the box named "Make job recurring." You will now be presented with the calendar from where you pick your days. A couple of things to note here:

Availability Console: Add New Availability Template (NUC-1600 and NUC-1602) |
This single button opens up a whole new world! For the first time, you can now create availability templates from scratch! What? How?! Via the "Add new" button at the top-right of the Availability Console. Once clicked it opens up the "Availability Template" modal in create mode. This allows you to create availability templates and add resources from scratch. It all comes with simple navigation buttons to help you through the creation process. How good is that?! |
Admin Settings: Mobile Configuration – Enable Submission of Availability and Unavailability (NUC-1628 and MOBX-1868) |
Two features that our Classic web app already offers, "Create Availability" and "Create Unavailability" are both now available to Skedulo X mobile users via our New Web App too! How do I use this feature? Enable the following Admin Settings–Mobile Configuration (Mobile Settings):
Once enabled, availability and unavailability requests can be made using the Skedulo X Mobile App. Requests can then be reviewed and approved (or rejected) via the Availability Console. Note: The Skedulo X Mobile App must be at version v1.18 or later. |
Navigation Bar: A new menu icon to view CRM database objects (NUC-1659, 1660 and 1668) |
In our new web app, you might notice a new icon in the navigation bar–three small dots (look to the left side of the GUI). I see it! So what is it for exactly? This is the first phase of a feature that allows schedulers to see a dynamically created representation of their database–without having to visit their CRM! We aim to expand on this later to allow users to create, read, update, and delete defined objects. For now though, these views are read-only. Note: These are read-only views at the moment. |
Admin Settings: Workflow – Allow resources to change the job status timestamps (NUC-1414) |
We are introducing more settings to bring you more control! Some organizations require a locked-down audit trail for job status transitions and require supervisor approval for any edits to these times. So in this release, we are introducing a new admin setting that enables you to control whether or not job status timestamps can be changed. Job status timestamps–can you explain a little more? Ok sure–when a resource changes the job status on their mobile device, a timestamp is recorded against that action, and it is stored as a record of when each transition occurred. If a resource makes a state transition earlier or later than when they planned (e.g., by accidentally pressing a button), with this feature enabled, they can update the timestamps by selecting the "Manage Times" option from the "Actions" button. This allows them to change the time and date of the following transitions:
The benefit of this default behavior is that it will enable resources to manage times, to account for mistakes, for more accurate reporting, or for adjusting times where charging may be based on fixed intervals. Things to note:

We've made a small update to the activities list. When there are no activities, there's a subtle prompt to help you on your way (i.e., in the text "You have no activities yet. Create an activity"–the last three words are linked to the "Create Activity" modal). |
Admin Settings: Mobile Configuration (Workflow Action Labels) Change Abort Job to Cancel Job (NUC-1731 and MOBX-1921) |
We are responding to valued customer feedback by amending some wording used in our product. As a result, we are replacing the contentious workflow label named "Abort Job" with the more amenable label of "Cancel Job." So now all references to the word "abort" have been replaced in both our New Web App and the Skedulo X Mobile App. Note: The Skedulo X Mobile App must be at version v1.18 or later. |
Admin Settings: Salesforce Chatter (NUC-1170 and MOBX-1685) |
Our last feature in this release (one already in available in our Classic Web App) is an admin setting to allow administrators to enable or disable their social integrations, e.g., social integrations between Skedulo and Salesforce Chatter (if your organization has the appropriate Chatter license). Ok, I need to check this–where can I find this setting? Access the Admin Settings via your user profile icon (bottom-left of the Scheduling Console–in the Nav Bar). Select "Social Integrations" from the available options. The option "Activate integration with Salesforce Chatter" is on by default, allowing social integrations between Skedulo and Salesforce Chatter. Deselect to disable this feature. Note: The default value is ON. |
