The User section of the admin settings (on the independent platform) allows admin users to create, configure and manage their organization's user base.
To view the list of available users in your organization, go to your profile->setting and click Users from the left panel. The Users added during the onboarding process, along with their assigned roles and their status appear here.

The users are listed alphabetically. You can reverse order this list using the blue caret next to the Name.
There is also a search option to quickly locate a particular user from the list of users.
At the far right of each user's entry is a vertical ellipsis. This is a drop-down menu that offers various options for the users depending upon their current status.
These options are given below:
Table 24. User status and the options menu.
Status |
Options |
---|---|
Active |
|
Pending |
|
No invite sent |
|
Deactivated |

Note
Each user has a status. The status remains Pending until they have completed their initial login after which it becomes Active. You can Deactivate an active user as well. Deactivating a user will prevent them from logging into Skedulo.
To create a new User, follow the steps below:
- Go to your profile>- setting, click Users from the left panel.
- Click Create next to the search bar. A Create Person dialog box opens.
Fig: Create user/person modal - Enter the following details of the user:
- First name
- Last name
- Select the Send invite on creation option if you want to send an email invite to the user.
-
Attach a profile photo of the user by clicking Add a new profile photo.
- Select the appropriate Role of Admin, Scheduler, and Resource for the user. Please note that if you choose Resource, you need to enter more details which are:
- Region
- Category of the resource category
- Address
- Mobile
- Country code
- Preferred notification method
- Working hours
- Click Save.
Note
The maximum image size for the profile photo (jpg or png) is 250 KB. The photo can be cropped by dragging it around, zooming in or out.
Avatars may default to Gravatars. However, if provided the Skedulo avatar will take precedence. If no image is provided, then Skedulo looks for a Gravatar based on the user's email address. If there's no gravatar available, a placeholder image is returned.
Invite Users to Join
If the invite is not sent to a User for any reason, they can not log in to Skedulo. Hence, you should invite (or reinvite) the user via email to join your organization.
Click the vertical ellipsis of a user to whom the invite has to be sent, and click Send Invite.
Note
You can manually send an invite to a user if you had not selected the Send invite on creation option.

As you click the Send Invite, an email invitation is sent out to the user's email address which looks like this:

Fig: Email sent to invite new users to join an organization on Skedulo.
Upon accepting the invitation, the newly created user should reset their password before they can gain access.
To view/edit a user's full details, click the vertical ellipsis of the user, and select Edit.
After making the necessary changes to the user's detail, click Save.
To deactivate a user, click the vertical ellipsis of an active user, and select Deactivate.

Important
Once deactivated, the user will be automatically unscheduled from any outstanding job allocations and shifts.
To help schedulers reallocate jobs before deactivating the user, the Deactivate User notification screen contains a link to the Jobs console and a list of the user's outstanding jobs (if any exist).

Fig: Notification that jobs are still allocated to the user being deactivated.
Important
There is a 12-hour delay before the user is actually prevented from accessing the system.
