When a job is created for a client, the system will check to see if the client has availability. The client is considered to be available when they have availability for that date and time, and they do not have a conflicting job at the same time.
Controlled via an admin setting, the client availability check can be configured as follows:
No checks are performed.
Only job conflicts or availability checks are performed.
Both job conflicts and availability checks are performed.
Refer to
If the client does not have availability at the time of the proposed job, then a message will appear describing the conflict to you. You can ignore this warning by clicking "Yes" to proceed or back out of creating the job by clicking "No."
Similar to the single booking availability check, on saving a new group event job if there are any conflicts for any clients, you will see a list of those conflicts.
Once clients have been added to a group event, their availability can be checked before scheduling the job. The "Check Availability" button will navigate to a check availability console that will display the availability of all the clients linked to the group event.
The different percentages of availability are shown via different colors on the console, which can be set by your admin. White space indicates all resources are available.
Click on a time slot (or click-and-drag to select a larger block of time), and you will see details on the clients that are available, and not available for your selected date and time. If you would like to proceed, you can click "Create Job."
The start time on the "Check Availability" console header enables you to identify the next date when all clients are available at your desired start time. If no start time is entered and the "Next Availability" button is selected, then the next date when all clients are available at any time will be identified.
In both instances, the user will be navigated to the next available block which is highlighted, and a job can be created.
The "Status" field enables further filtering on the "Next Availability" feature, so you can check for the next date when most, some or a few of your clients are available.
