The service management console provides Aged Care providers the ability to view aged services on a site and resource level.
Once you configure the filters you can click the "Apply" button to execute the search. The corresponding resources, with job allocations matching the search criteria, will be displayed. "AND" logic is used when executing a search.
The "Clear" button will reset the search and the corresponding results.
The results will be grouped for each site and then service (if only an account was selected in the filters, all sites linked to that account will be shown). The jobs, activities, and availability will be shown for each resource. The availability and activities will be replicated across each service for a resource whilst the jobs being displayed will be service-specific.
Note
Only resources with a job allocation will be shown. If you wish to create a job for a resource that is not on the console, you can click on the "Add Job" button once an account has been selected.
The following search filters are available for selection to define the results shown:
Table 9. The service management console filters and their descriptions.
Form Element |
Description |

Start Date |

Account |
An account lookup. An account is linked to the site via the organisation name on the record. A single account can be selected. Use the custom setting “SC_Account_Record_Types” to restrict accounts by Account record type. A single account can be selected. Note: Account is a required field. |
Sites |
Lookup to a site. Only those sites linked to this account and which are active will be available for selection. Multiple records can be selected. |
Services |
Lookup to a service. Only those services that have the status of "Active" with a charge per of either bed or clients. Not linked to the services at a site. Multiple records can be selected. |

Resources |
Lookup to resources. Filtered by category and employment type. Limited to resources with the work's region as their primary region or included in their secondary regions. Multiple records can be selected. If a resource is entered and they have no jobs, they will still be displayed in the result. |
If a resource has been entered in the search then they will be shown for each service, even if they don’t have a job for it. This enables a job to be created from the console for this service.
For each site and service, there will be a summary of the contracted hours and actual hours, and whether they are currently "Under" or "Over" in their services delivered. The calculation for the contracted hours will vary depending upon the type of service:
-
Residential Aged Care (RAC): (Qty on services record x bed linked to the site).
-
The RAC Tracker (Calculation: Services to be delivered - scheduled services for the period).
-
Service: 4A and 4B Treatments (Qty on services record x active appointment services linked to the site for that service).
When selecting the two-week time frame, the "Contracted" vs. "Actual" hours for a resource to will show the values for a two week period.
Note
When adding or editing a job's duration, the increments are controlled via a custom admin setting.
Note
The custom setting, 'Allow_Past_Job_Creation_On_Booking', can be used to create work prior to the current date.
Setting options…
- Set 'Allow_Past_Job_Creation_On_Booking' to "true" to enable the creation of jobs prior to the current date
- Set 'Allow_Past_Job_Creation_On_Booking' to "false" to restrict creation of jobs to the current date or a future date
For each resource the following details will be shown (per treatment service):
-

-
Contracted hours (e.g., 10).
