Healthcare Skedulo (Lumary) + Easy Employer V1.41

This package version requires the following mandatory packages in place before installation.

Enhancement 1: Managing Broken Shifts functionality

Business Rule: A broken shift comes into place when there is a gap of more than one hour between scheduled jobs/payable activities which is not filled by an unpaid break (eg: unpaid meal break).

Instructions:

1. Update the Broken Shift Gap field in the Integration Package to the desired
   value in minutes.
   
2. Configure a new custom field (checkbox) on the Shift object page layout to determine if the shift needs to be a broken shift.
   

Automation Process for Nightly Batch:

• A new nightly batch is to be configured to identify the broken shifts based on the parameters.
  

• A Broken shift will be a shift with the same role that starts within the custom setting from the scheduled end time of a previous shift.
  
• A new salesforce report can assist in displaying the Broken Shifts identified via the nightly batch.
  

As a Payroll officer:

The Easy Employer system will correctly show the broken shifts, following the successful send of the timesheet data from Skedulo to Easy Employer.

Enhancement 2: Managing Laundry Allowance functionality

Business Rule: From the SCHADS directive, customers can either have a uniform allowance for laundry allowance has been moved from an employee level to a shift level which is to be paid 0.32c if their uniform is soiled.

Instructions:
As a Salesforce Administrator (one-off setting)

1. Add a new custom field in the Job page to indicate for Laundry Allowance.
   
2. Add a new integration setting to manage the Laundry Allowance aligning with the allowance code as specified in Easy Employer System.
   
   Assumption: EasyEmployer System must be set up with the laundry allowance prior to configuration in Salesforce for Skedulo Integration.
   
   
   

As a Scheduler:

1. Schedule the job to the client as normal via Salesforce.
2. Enable the checkbox - Laundry Allowance if the job needs to be paid a Laundry Allowance.
   
3. Assign resources to the job as normal (no change to the existing process).
4. Save the job.
5. Approve the timesheet as normal (no change to the existing process).

As a Payroll officer:

Employee laundry allowance applied is recorded in the Clocked Shift Allowance area within the Easy Employer system.

Enhancement 3: Managing Minimum Changes

Business Rule: From the SCHADS directive,

• All jobs or shifts must be a minimum of two hours paid scheduled work, and
• A Sleepover shift needs to be a minimum of 12 hours.

Instructions:
As a Salesforce Administrator (one-off setting)

1. A new custom validation rule for managing the sleepover jobs to be a minimum of 12 hours has to be enabled.
   
2. A new custom validation for managing the shifts to be minimum of two hours has to be enabled.
   

As a Scheduler:

1. A validation error is encountered if a Sleepover Job is created with a duration under 12 hours.
   
2. An exception is seen in the Timesheet Console if the shifts are under two hours, thereby unable to approve the timesheet until the exception is corrected.
